5 Tips for Improving A Collaborative Office

Collaborative offices are gaining popularity. They are more than simply open spaces. How do you optimize your company's office space to promote exchanges and creativity without compromising productivity? Here are some ideas to consider.

 

1. Consider the field. It goes without saying that a law firm will not have the same environment that a marketing firm would. We must therefore consider the privacy level required for professionals, but also the image that the company wants to convey to its customers. Closed offices may be needed in one department, while being completely optional for others. A startup company in the field of technology, for example, can afford to settle in a friendly, colorful and creative open space.

 

2. Consult employees. Whether the company is large or small, it is always best to seek the advice of employees before undertaking a major work space refurbishment. Doing otherwise could cause frustration and lead to decreased motivation. Conducting an internal survey is a good way of gathering worker suggestions and concerns. If you are part of a small business, you should not encounter too many difficulties. For larger companies, an internal survey can be a simple and effective solution.

 

3. Avoid isolation. One of the advantages of open spaces, a breakdown of isolation, can lead to a loss of time and a lack of dynamism. It is easier to surf the web when you are alone! Rubbing shoulders with colleagues outside of closed office cubicles is an undeniable source of inspiration. On the other hand, you can also offer the possibility of a more intimate space, either for tasks that require more concentration, to meet clients or make calls away from all the lively conversations. A solution? A large open work area, surrounded by a few more secluded corners to be used  by 2 or 3 employees at a time.

 

4. Think convenient space. You must ensure that the space is ergonomically organized and accessible to all. Placing electrical outlets or common equipment (such as photocopiers) should be placed in the center with full access to all. Another practical tip: take advantage of natural sunlight, which has proven its positive effects on morale and health. But be careful not to be distracted by what is going on outside the office! Finally, a collaborative space should be well thought out not only in terms of furniture and interior design, but also on the side of technology. Communication can be greatly facilitated through simple internal tools, like a professional chat system, a document sharing network or a new internal portal.

 

5. Meet outside the office. Although they have permanent offices, some companies offer their employees the option to meet in open co-working spaces that can be rented out. For motivation, travel or simply to avoid a complete redevelopment of the office, renting collaborative spaces can be a good option for more casual business meetings. Most co-working spaces offer the possibility of closed offices or meeting rooms, as required.
