As a Human Resources Coordinator, you will be:

Local HR Support – Calgary Office

  • Providing general HR administrative support, including onboarding preparation and follow-up, maintaining employee records, and processing HRMS transactions (e.g., new hires, changes, terminations, and payroll inputs).
  • Acting as the first point of contact for Calgary firm members for HR-related inquiries (excluding shared services matters), ensuring timely and helpful resolution. Escalating complex matters to the appropriate HR Business Partner or Manager.
  • Supporting onboarding of Calgary-based MT Services and Paraprofessionals, including creating orientation schedules, hosting HR orientation sessions, and coordinating required training.
  • Managing local offboarding activities, including resignation and termination processes, coordinating exit interviews, and processing related HRMS transactions.
  • Monitoring probationary and contract end dates, following up with managers, and processing related employment changes.
  • Submitting and tracking overtime sheets for Calgary employees, liaising with Payroll as needed.
  • Coordinating local engagement initiatives and wellness activities.
  • Maintaining and updating local HR resources, manuals, and templates.
  • Supporting the Calgary HR Manager and HR Director as needed.
  • Maintaining confidentiality, professionalism, and equity in all interactions.

National HR Program and Project Support

  • Assisting in the coordination and delivery of national HR programs that fall outside of our HR Centres of Expertise, including:
    • Supporting the rollout of new initiatives and tools.
    • Participating in or leading the coordination of special projects, including timelines, research, documentation, and communication.
    • Providing project updates to HR Leads and escalating concerns as needed.
  • Acting as a liaison between the national HR team and other departments (e.g., IT, PR, Facilities) to support consistent national implementation of HR processes.
  • Assisting with drafting internal communications related to HR programs and processes.
  • Contributing to continuous improvement efforts and helping identify process enhancements that support better service delivery and efficiency.

HR Service Delivery

  • Responding to HR tickets submitted by employees and leaders, ensuring consistent and high-quality service in accordance with service level expectations.
  • Accurately logging, tracking, and closing HR service tickets in the system.
  • Working closely with the broader HR team to ensure alignment and knowledge sharing across locations.
  • Flagging recurring issues and contribute ideas for streamlining responses or improving the knowledge base.

As our ideal candidate, you will distinguish yourself by the following profile:

  • Post-secondary diploma or degree in Human Resources, Business Administration, or a related field.
  • Minimum 3 – 5 years’ HR experience, ideally acquired in a law firm, professional services, or similarly fast-paced, client-focused corporate environment. Experience in legal, consulting, accounting, or financial services firms is highly preferred.
  • Working knowledge of Canadian employment legislation.
  • CHRP designation is an asset, but not required.
  • Demonstrated ability to learn quickly, shift priorities, and manage multiple tasks in a fast-paced environment.
  • Proactive and action-oriented with strong organizational and problem-solving skills.
  • Exceptional interpersonal and communication skills, both verbal and written.
  • Strong attention to detail, with excellent grammar, spelling, and proof-reading skills.
  • High level of discretion and confidentiality when handling sensitive information.
  • Strong proficiency in MS Office Suite
  • Comfortable using HR systems and tools (e.g., UltiPro, ServiceNow, Workday).
  • Experience with project coordination or supporting national initiatives is a plus.
