Located on NAIT’s main campus and reporting to the department leader, this position provides key support to the Learning Services team and is essential in ensuring prompt and professional service delivery to students and staff. Through the assessment of referral information and collaboration with the student, the Intake Advisor position triages and responds to referral information.

The role requires the ability to organize, coordinate, and manage multiple tasks in a timely and efficient manner. The Intake Advisor position provides resources, initial supports, and/or referral to other service areas within NAIT. The employee will be confident in their writing and communication skills, demonstrate an ability to work both independently (with minimal supervision) and in a team environment, have good judgement, maintain confidentiality, and be proficient working in a fast-paced environment. This position requires an understanding of Alberta Human Rights principles, diversity, inclusion and disability ethics, mental health office practice, and NAIT wide policies, practice and program details.

Key Responsibilities:

  • Serve as an initial point of contact, assess student needs and referrals, and provide timely follow-up through an Integrated Service Model

  • Welcome and assist visitors in person, via phone, and email, maintaining a professional atmosphere and helping direct them to the appropriate services

  • Book, reschedule, and facilitate student appointments, ensuring confidentiality and adherence to NAIT policies, procedures, and processes

  • Respond to general inquiries and provide accurate information across multiple communication channels (phone, email, in-person)

  • Coordinate internal and external referrals, update student files and case notes, and ensure compliance with confidentiality regulations

  • Collect, summarize, and report data to support service planning, track intake documents, and update student records

  • Guide students to appropriate learning and disability support services, both within the institution and externally

  • Enact emergency protocols when needed and maintain readiness for such events

  • Engage in continuous learning, keep up to date with legislation, and participate in relevant training and events

  • Work with internal and external professionals to ensure proper referrals, promote diversity and equity, and contribute to awareness activities

  • Other projects, tasks, assignments, and cover-off as determined by operational needs

Skills & Abilities:

  • An interest in working with students who have disabilities is essential and an ability to interact effectively in a team environment

  • Strong organizational and multitasking abilities

  • Exceptional verbal and written communication skills

  • Proficiency in Microsoft Office Suite, databases, and assistive technology

  • High accuracy and attention to detail

  • Ability to work independently and collaboratively

  • Awareness of diversity, inclusion, and student rights

  • Knowledge of student-centered learning and disability concepts

  • Problem-solving and conflict resolution skills

Qualifications:

  • A post-secondary diploma in Education, Social work, Disability Studies, Psychology, Sociology, or a related discipline is required

  • Additional experience may be accepted in-lieu of post-secondary education

  • Experience related to persons with disabilities, including learning, mental health, and physical disabilities in an educational setting is beneficial

  • 2-3 years’ experience in student services and/or academic learning environment

Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services or the International Qualifications Assessment Service (IQAS).

Remuneration $24.74 - $30.88 per hour, plus 12% in lieu of stat holidays and vacation accrual.

This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
