We are recruiting for Leave of Absence Coordinator to join our Total Rewards team. This role will be based in our corporate head office - Burnaby, BC. This is an on-site position.

Job Overview:

The Leave of Absence Coordinator manages employee leave and disability programs, including sick leave, maternity/parental leave, disability claims, and workplace injuries across Canadian provinces. This role ensures compliance with policies and legislation while coordinating return-to-work accommodations. Acting as the primary contact for employees, managers, carriers, and healthcare providers, the coordinator also tracks leave data and recommends policy improvements.

Responsibilities and Duties:

Leave & Disability Management

  • Administer employee leave programs, including disability, maternity and parental leave, sick leave, and other statutory leave entitlements.
  • Serve as the day-to-day contact for employees, managers, carriers, and healthcare providers regarding leave and disability-related inquiries.
  • Track and monitor leaves, ensuring timely documentation, approvals, and return-to-work planning.

Workplace Injuries & Accommodations

  • Manage workplace injury claims across multiple Canadian provinces, ensuring compliance with provincial workers' compensation regulations.
  • Submit and track workers' compensation claims, liaising with provincial agencies (e.g., WSIB, CNESST, WorkSafeBC, WCB Alberta).

Return-to-Work & Accommodations:

  • Develop and implement accommodation plans to support employees returning from leave or disability.
  • Work with HR, managers, and carrier case manager to assess and implement workplace accommodations.
  • Ensure compliance with human rights and employment legislation regarding disability accommodation.

Process Improvement, Reporting & Compliance

  • Analyze leave trends and recommend policy/process improvements.
  • Ensure compliance with provincial leave laws and reporting requirements.
  • Maintain accurate leave records, track key metrics, and generate reports.
  • Stay updated on legislative changes affecting leave policies.

Qualifications & Skills:

  • 1+ years of administrative experience, preferably in HR, disability management, or benefits administration.
  • Post-secondary education in Human Resources, Occupational Health, or Disability Management, or equivalent experience.
  • Knowledge of provincial leave and disability regulations (ESA, Human Rights Code, workers' compensation laws).
  • Experience coordinating disability claims and return-to-work programs.
  • Familiarity with HRIS or leave management systems for tracking and reporting.
  • Strong case management skills to handle multiple leave cases accurately.
  • Proficiency in MS Office (Word, Excel, PowerPoint) for documentation and reporting.
  • Ability to anticipate and resolve leave-related challenges.
  • Tact, discretion, and diplomacy in handling confidential matters.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and collaborate in a team
