WHAT WE’RE LOOKING FOR:

We are seeking a Payroll Administrator to join the Finance department at Coulson Group of Companies. The Payroll Administrator position exists to protect the corporate interest of the Coulson Group and to support all Coulson Group companies. The Payroll Administrator is responsible for assisting and expediting the processing of payroll, ensuring compliance with Company and Government policies. This is a key cash management position.

RESPONSIBILITIES:

Payroll:

  • Assist in ensuring bi-weekly payroll is processed accurately and on time for hourly and salary employees and processing 3rd party remittances and deductions.
  • Assist with reconciliations of government payroll remittances to ensure accurate application.
  • Assist with preparing and maintaining employee data and payroll information in preparation for payroll tax audits.

Time and Attendance:

  • Maintain and ensure accurate time and entry and approval processing of time sheets in time keeping software.
  • Process any EI inquiries.

Benefits:

  • Process benefit enrollment information.
  • Assist the HR Director with the processing of claims, as needed.

Payroll Reporting:

  • Assist in preparing monthly, quarterly, and year-end payroll statements and reports.
  • WCB - Payroll Quarterly Summaries (online) and Year End Summaries for reconciliation.
  • Pension Plan – Enrollment and Contribution reconciliation.
  • BC Health – Prepare and Submit monthly to eTaxBC and Year End reconciliations.
  • Assist with the processing of T4’s and other related year end reporting.
  • Prepare analysis and summaries, as required, for review.

Accounting:

  • Provide support to the accounting department, as assigned.
  • Replace all prior year payroll files and ensure proper storage. Determine what payroll file boxes can be destroyed.

As required:

  • Assist HR with the maintenance of all active and non-active employee records and information, as needed.
  • Respond to employee inquiries and, if necessary, inform the applicable Supervisor.
  • Maintain a professional relationship with employees of the Coulson Group.
  • Maintain a professional relationship with external agencies and organizations.
  • Other duties, as assigned.

REQUIREMENTS:

  • Diploma or Degree in related field, PCP/Payroll certification preferred
  • Payroll 2+ years of progressive payroll and benefits experience, 3+ year experience working with Canadian payroll regulations, preferred.
  • Knowledge of tax and deduction laws that apply, preferred.
  • Experience with Workers Compensation claims.
  • Experience with year-end processing.
  • Experience in an accounting department.
  • Experience in a dynamic multi-organization environment an asset.
  • Experience in processing accounting transactions including reconciliation of accounts, preferred.
  • Experience with Eclipse, UKG, Ulti-Pro and/or Workforce Management, an asset.
  • Microsoft Office applications with proficiency in Excel.
  • Experience with Payroll implementation an asset.
  • Ability to research regulations and maintain compliance with relevant regulations.
  • Excellent attention to detail, meticulous record keeping
  • Experience with time sheet coding focused on specific projects and/or jobs
  • Excellent communication skills, with demonstrated ability to communicate effectively with colleagues
  • Strong customer service skills for developing and maintain effective working relationships with all internal and external stakeholders
  • Ability to plan, organize, and manage workloads
  • Proven ability to aggregate and analyze information and data for effective problem solving, and to utilize sound judgement
  • Strong time management skills and ability to handle multiple demands and competing priorities
  • Enjoys a fast-paced environment, researching and continuous learning

BENEFITS:

  • $26.00 – $36.00 per hour, depending on experience.
