Job Summary
The Communications and Partner Outreach Assistant is responsible for the Research Project website and online presence, and provides support for knowledge translation initiatives, content creation and editing of project publications and materials used in partner initiatives, and the coordination of partner events and team meetings. Major tasks include designing and developing communication materials; maintaining and updating the Research Project website; supporting research team writing efforts and liaising with the three partner sites to facilitate and promote joint events and activities. Acts as a resource for the research team with regards to communications, promotions and event information.

Organizational Status
The Communications and Partner Outreach Assistant reports to the Principal Investigator. Works closely with the other members of the Research Team and liaises with communication and marketing staff in partner libraries, as needed.

Work Performed

Communications / Marketing support:

  • Updates and develops online communications material for the Research Project.

  • Coordinates proofing and approval process across Faculty research leads to ensure that timelines are met and materials are accurate

  • Designs and develops web content, knowledge translation materials (e.g. plain language summaries, infographics), promotional event posters, information sheets, and presentation materials.

  • Maintains and manages content on the Research Team website.

  • Coordinates content across website, MS Teams site and publication site; seeks opportunities to promote activities and events to relevant audiences through other media channels.

  • Develops and coordinates the publication of online content for the project, including planning, interviewing, writing and publishing.

  • Acts as resource for the research team with regards to communications, including promotions and event information.

  • Works with Faculty Research leads to support the development of research publications, and specifically, to identify alternative formats and means of sharing research outcomes.

  • Liaises with the communications teams of the partner libraries, as needed, to support the promotions of joint events and activities.

  • Assists with photography and video production during joint events and in support of research communication.

  • Performs other related tasks as required.


Consequence of Error/Judgement
Must exercise judgment based on confidential and time-sensitive information and in support of sensitive partner relationships; error or failure with information gathering, research or time management could result in incorrect information being shared or opportunities missed. Errors or incorrect decisions can have significant adverse impact on all parties, the reputation of the research project and university and partner relationships.

Supervision Received
Works independently under general supervision of the Principal Investigator. Works closely with the Co-PI and as part of the project team.

Supervision Given
There are no supervisory activities in this position; may provide advice or guidance to student members of the team on communications matters.

Minimum Qualifications
High School graduation, plus two years of post-secondary education, plus three years of related experience, or an equivalent combination of education and experience.

Preferred Qualifications

  • Experience with communications-related field is strongly preferred.

  • Working knowledge or experience with a website content management tool or html coding, WordPress platform and/or current communication forms/media; experience with general administrative work preferred. Proficiency with the WordPress platform and website layout.

  • Commitment to anti-racism and inclusive excellence, and ability to apply an intersectional anti-racist lens to communications projects. Ability to recognize, respect and work effectively with individuals and groups with diverse perspectives and backgrounds. Takes initiative in learning about language and issues relating equity and diversity.

  • Experience with website content management tools, basic HTML coding, basic database systems, social media platforms, blogs, and other current communication forms
