Job Summary

The Office of Global Engagement (OGE) leads UBC's diverse and complex international activities, advancing the University's international strategic priorities. The OGE is part of the Provost and Vice-President Academic's Office. As a whole, the OGE supports UBC's purpose to develop global citizens through transformative student learning experiences in international locations, underpinned by global partnerships that foster teaching, learning and research collaboration. The OGE has a mandate that includes the curation of international partnerships and formal agreements for mobility and research collaborations, and provides UBC's faculties and departments with the necessary resources to achieve their internationalization goals and create new opportunities to connect around the world. It provides strategic support to University leaders and faculty members, and acts as an important point of contact for institutions around the world.

The Coordinator, Global Partner Engagement, is responsible for the development and implementation of partnership opportunities and activities that support UBC's broad strategic goals and internationalization efforts. The role is responsible for the planning and coordination of a wide variety of initiatives within the OGE in support of UBC's global engagement, as required, including organizing global events, meetings and workshops, supporting strategic regionally-focused engagement (e.g. Indo-Pacific collaboration), and coordinates partnership management and stewardship (e.g. managing key relationships with current and potential partners, leading engagement efforts in the development of new partnerships for UBC). The position coordinates the planning and execution of international visitor and delegation events at UBC, and the international visits of UBC delegations and leaders abroad (including, in some cases, the President, VP's and other senior faculty and staff), and is responsible for strategically orienting those engagement opportunities toward the priorities of the Faculties and to the development of outcomes. The position also responsible for other strategic work of the OGE, including but not limited to researching new partnership opportunities, creating content for OGE's communication channels, and drafting reports, proposals, concept notes, and briefing notes. The role also responsible for the cycle of establishing and renewing partnership agreements (ex. MOUs, Academic Partnership Agreements), and other administrative support for partnerships as required. The role reports to and works closely with the Assistant Director, Global Partner Engagement and Strategy, and is responsible for identifying and cultivating new partnerships, initiatives, and opportunities for UBC that support the Faculties and the University's strategic activities and reputation globally.

The Coordinator, Global Partner Engagement, will engage with a wide variety of external partners and stakeholders worldwide, including global partners, government contacts, international organizations, the diplomatic community, etc., as well as with UBC faculties, faculty members, Deans and Dean's offices, staff, and colleagues within the OGE.

Organizational Status
The position reports to the Assistant Director, Global Partner Engagement and Strategy. The incumbent works closely with the Director of Global Partnerships, other members of the Global Partnerships team, as well as other staff members within the OGE who engage with our international partners. This position interacts with senior administration across the University and external organizations.


Work Performed

Partnership Engagement, Delegation Visits and Events

  • Develop, Plan, coordinate, and execute workshops, meetings, and conferences to enhance UBC's global engagement and academic impact by leverage understanding of UBC's international outreach to deliver high-profile events that advance institutional goals, benefit faculties, and strengthen UBC's global reputation while insuring successful implementation aligned with OGE objectives.

  • Plan, develop, and implement programs for high-profile international delegation visits to UBC, including managing agendas, logistics, participant invitations, briefing notes, and follow-ups, ensuring a seamless, high-quality experience for visiting dignitaries such as ambassadors and university leaders, supporting global partnership development through productive and impactful meetings.

  • Build and foster relationships with UBC partners, diplomatic communities in Canada and abroad, and partner universities, collaborating with UBC's regional offices (Hong Kong, India) to support these connections. Serve as the primary contact for UBC partners, foreign diplomatic missions, and Canada's diplomatic missions overseas.

  • Represent UBC at various international education events, conferences, and meetings, (both virtual and in-person), acting in a business development role on behalf of UBC, identifying and following up on relevant opportunities for UBC stakeholders and making the necessary connections and ensuring prompt follow-up.

  • Provide advice to staff and stakeholders on cultural etiquette, nuances, and diplomatic protocols.

  • Build and maintain effective and collaborative relationships with internal and external stakeholders.

Research, Analysis, and Proposal Development

  • Research, analyze, and develop reports, materials, proposals, and concept notes to shape the strategic activities of the Office of Global Engagement (OGE) and to inform UBC senior leadership on matters related to UBC's global engagement. Develop and write proposals for external funding (ex. Global Affairs Canada Calls for Proposals). Generate regular and ad hoc reports to inform decision-making on partnership opportunities for faculty and students.

  • Conduct literature and web research on partners and potential partners, including universities, corporations, NGOs, community partners, funding organizations, and more, which will inform the development of projects and activities to enhance UBC's global engagement.

  • Utilize various research tools (ex. SciVal) to provide full briefings and recommendations to inform discussions and decisions. The scope of this research will be wide, including (but not limited to) existing and potential global networks, specific universities, corporates, NGO's, community partners, funding organizations, regions, metrics for assessing impact, student mobility interests faculty and researcher engagement, and interest areas (eg., UN SDGs, capacity building opportunities, etc.).

  • Research and prepare briefing notes for Senior Administration in advance of meetings with university/government officials.

Strategic Projects

  • Implement projects that support the OGE's strategic missions and goals. These may include researching on new partnership opportunities, applying for external funding opportunities that support UBC's students' and faculty members' international engagement activities, and implementing events that promote UBC's reputation as Canada's educational gateway to the Indo-Pacific.

  • Support the implementation of OGE's special initiatives that generate revenue for OGE and other UBC's academic units.

  • Maintain up-to-date knowledge of domestic and international events impacting global partnerships.

  • Promote OGE's activities within and outside UBC, including creating content for OGE's communication channels, including its website and social media platforms.

  • Communicate with a wide variety of external stakeholders, including international partners, diplomatic officials and offices, community organizations, corporates, etc., and internally at UBC with the relevant faculty member(s) and Faculties.

Partnership Administration

  • Manage the cycle of establishing and renewing partnership agreements (ex. MOUs). Steward a variety of agreement types through efficient workflow processes, including assessment, consultation, drafting and negotiating, internal review, finalizing and executing, monitoring and reporting.

  • Manage process related to international partnership agreement administration and partnership building, including preparing partnership proposals for the Senate Admissions Committee for new partnerships.

  • Works closely with members of the OGE, as well as other University departments, to support the Faculties and faculty members with their partnership agreement related requests and questions, and problem solve issues.


Consequence of Error/Judgement
Decisions made directly affect the effective and efficient operation of the OGE and potentially UBC's reputation. This position requires significant judgment, tact, discretion and initiative; poor decisions or lack of tact, diplomacy or sensitivity in dealing with external contacts could result in damaged relationships and loss of credibility for the University. Work is reviewed in terms of fulfillment of mandates and achievement of unit goals.

Supervision Received
The incumbent reports to the Assistant Director, Global Partner Engagement and Strategy, but will at times take direction from other senior staff members within the OGE. The incumbent is expected to work independently with minimal supervision and to exercise tact and discretion.

Supervision Given
Formally trains new staff on work procedures, and/or oversees work of students and/or temporary staff. This includes training temporary and student staff on procedures, policies, and workflow management to ensure that accuracy and quality are maintained. May be responsible for timely evaluation of student staff.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications

  • Ability to plan and organize events, including high-profile events.

  • Excellent interpersonal and relationship-building skills are required, with proven abilities in partnership management. Ability to work effectively in both a team environment and independently. Working with a wide range of people is required.

  • Outstanding verbal and written communication skills. Ability to communicate professionally with a diverse range of people; possess a high level of attention to detail. Experience in maintaining website and social media platforms is an asset.

  • Established research and analytical skills. Ability to identify issues, make recommendations, and resolve complex problems based on research and analysis.

  • Experience in working in an international environment. Knowledge of international protocol is required. Exceptional intercultural communication skills with ability to apply diplomacy and tact while working with a variety of stakeholders from diverse background.

  • Master's degree is an asset.

  • Knowledge of Asian languages is an asset.

  • Specialist knowledge of the Indo-Pacific region is an asset.

  • Must be highly organized, take initiative, agile, and have strong problem-solving skills. Ability to multitask, prioritize and work effectively under pressure to meet deadlines and handle high volume.

  • Ability to adapt to changing priorities and work in a fast-paced and fluid environment.

  • Proven good judgement and tact, and the ability to work in an interdisciplinary environment is a requirement for this position.

  • Intermittent work outside the normal operating hours of the institution, flexibility to travel occasionally as required.
