The Canaccord Learning Commons (CLC) and David Lam Management Research Library (DLam) is an integrated unit that provides collections, technology and support services to UBC Sauder and other UBC undergraduate and graduate students, faculty, employees and community members.

The CLC offers academic co-curricular programs, study spaces, equipment lending and access to specialized technology and lab spaces to help UBC Sauder students achieve academic success and develop career-ready skills.

The Coordinator, Peer Learning Programs is responsible for developing and delivering training and learning resources and materials for student-to-student academic support programs that occur outside of the classroom, but are closely affiliated and aligned with the core academic curriculum of the UBC Sauder School of Business.

The Coordinator manages a portfolio of peer-facilitated programs and develops programs assessment and evaluation tools. Programming within this portfolio supports the academic success, personal/professional development, and retention of approximately 3,800 undergraduate students across twelve academic specializations, and approximately 500 graduate students across six programs.

Leveraging the in-depth knowledge of and experience with student development theory, student advising and experiential learning principles, the Coordinator strengthens the unit's commitment to providing exceptional learning opportunities and support services for students.


Organizational Status

  • Reports to the Canaccord Learning Commons Manager.

  • Works collaboratively with colleagues within the unit and across the UBC Sauder including instructors, Undergraduate Office, Robert H. Lee Graduate School, Hari B. Varshney Business Career Centre, UBC Sauder IT, Diploma and Accounting Program, Learning Services, and the Dean's Office.

  • Develops and maintains strong working relationships with other units across UBC, including Chapman Learning Commons, Centre for Student Development and Leadership, and program units in other UBC faculties.

  • Regularly interacts with high volume of undergraduate and graduate students, recruits, hires, and trains student leaders and supervises student workers.

  • Liaises with student leaders, instructors, internal departments and external organizations.


Work Performed

- Manages a portfolio of peer-facilitated programs for undergraduate and graduate students at UBC Sauder: Peer Assisted Study Sessions (PASS), Communication Coaching and Math Coaching. Provides operational oversight and leadership.

- Develops learning resources for co-curricular support programs to support undergraduate and graduate students in succeeding academically and to build the skills required for successful careers upon graduation.

- Responsible for the regular update and maintenance of the required learning materials, educational modules and other resources and templates for co-curricular support programs on Canvas.

- Prepares procedural guidelines for student employees for the appropriate use and expectations around updating and managing PASS pages on Canvas.

- Delivers training sessions for student leaders on principles of supplemental instruction, in order to provide them the skills necessary to lead peer assisted study sessions.

- Develops and delivers training sessions and workshops on professional development and EDI principles in teaching and facilitation, including but not limited to accessibility, language, and bias.

- Determines staffing needs and is responsible for hiring of student leaders for all programs.

- Manages and leads weekly meetings for student leaders of each program.

- Manages all aspects of programming schedules, creates master calendar and contributes to program planning, taking into consideration student schedules, course schedules, etc., and disseminates to cross-functional teams.

- Develops and implements attendance and program assessment and evaluation tools for all peer-programming. Collects and analyzes data to evaluate service efficiency. Prepares yearly reports and statistics.

- Makes recommendations and implements strategies to improve the delivery of learning and communication development programs and thereby improve the quality of students' university experience.

- Develops marketing strategies for programs, including signage and calendars.

- Selects, recruits, hires, assigns, trains, supervises and evaluates student leaders, leveraging principles of student development theory in all supervisory relationships.

- Develops and implements documentation systems; ensures accuracy and integrity of records in accordance with HR standards and the federal government's Freedom of Information and Protection of Privacy Act.

- Researches and recommends new methods and procedures to maintain current capabilities, quality and standards of the peer-facilitated programming. Develops and implements policies and procedures.

- Regularly liaises with UBC Sauder instructors to ensure ongoing alignment of co-curricular support programming with academic expectations and outcomes in the classroom.

- Maintains partnerships with Undergraduate Office, Robert H. Lee (RHL) Graduate Office, Diploma in Accounting Program (DAP), and Business Career Centre colleagues to consider consistency and quality of student support services across the faculty, with an eye for reducing duplication of effort and seeking opportunities for collaboration.

- Collaborates with CLC Manager, Undergraduate Program Office and RHL Graduate school to evaluate student-led programs and resources to assess their impact and effectiveness.

- Prepares budget proposals, secures funding for all programs through Work Learn program and allocates funds for all positions.

- Prepares plans for implementation of program activities independently and in collaboration with team members.

- Fosters an inclusive and respectful learning environment where all students have the opportunity to thrive professionally, academically and personally.

- Remains up-to-date on contemporary learning theory. Considers and integrates best practices, leverages current trends, institutional data, and program feedback to anticipate and respond to student needs.

- Actively participates in relevant UBC-wide Communities of Practice, both contributing to and learning from colleagues in other faculties and central units.

- Demonstrates ongoing commitment to and application of the core principles of Supplemental Instruction, as per international requirements for certified programs such as Peer Assisted Study Sessions.

- Researches and strengthens the unit's commitment to providing exceptional learning opportunities for students, in both in-person and online contexts. Considers academic literature and professional best practices in supporting students' teaching and learning. Leverages current trends, institutional data, and program feedback to anticipate and respond to student needs.

- Performs other duties as required.


Consequence of Error/Judgement
Makes decisions in the development of training materials and other learning and teaching resources. Participates in the assessment of program offerings and contributes to program planning. Decisions and actions have a direct impact on the peer support programs and student experience and success. Decisions have an impact on the development of relationships and initiatives within the UBC Sauder School of Business, the UBC Library and the University. Errors in judgement would negatively impact the unit's reputation, credibility and accountability with students, faculty and employees. Errors could cause an increase to costs, and could negatively impact services offered by CLC and UBC Sauder as well as the student experience. Lack of decisive leadership in handling students' academic situations may result in significant stress, distress, or negative academic consequences for students.

Supervision Received
Works independently under general direction. Work is reviewed for overall effectiveness and achievement of program objectives. Reports to the CLC Manager. May receive direction from the Head, David Lam Library & Canaccord Learning Commons. Work is reviewed for overall effectiveness and achievement of program objectives.

Supervision Given
Manages student employees and student leaders who facilitate peer-learning programs within the unit, and is responsible for hiring, training, discipline, evaluation and termination.

Minimum Qualifications
University degree in a relevant discipline. Minimum of two years of related experience, or the equivalent combination of education and experience.

Preferred Qualifications

- Master's degree in relevant discipline (e.g., Education or Teaching) is an asset.

- Previous experience leading student teams is an asset.

- Previous experience in curriculum design or teaching is an asset.

- Demonstrated excellent verbal and written communication skills.

- Ability to provide timely, constructive feedback to student employees and professional colleagues.

- Ability to work with considerable autonomy, and as part of a team.

- Proactive in identifying relevant opportunities for professional growth and development.

- Ability to recognize and appreciate the contributions of colleagues.

- Effective analytical, problem-solving and decision-making skills.

- Open to experimenting with and improvising new ways of approaching processes, tasks or problems.

- Experience working with learning management systems (e.g., UBC's Canvas platform) is an asset.

- Previous experience supporting/working with faculty members is an asset.

- Previous experience working with Supplemental Instruction programs, or as a PASS Leader or Teaching Assistant is an asset.

- Ability to work flexible hours, including occasional evenings and weekends.
