Job Summary
The role of Manager, On-Campus Recruitment is integral to the achievement of the University's international undergraduate enrolment goals. In this regard, the incumbent will develop and implement a wide range of strategic, high-profile campus-based recruitment programs and advising services strategically targeted to diverse audiences of prospective and newly-admitted Indigenous, domestic and international students and their families. The Manager also develops specialized programming for specific visiting groups, such as high school guidance counselors, agents, partners, and others who play a key role in influencing students' perceptions of UBC and their decisions to apply and attend. The campus-based recruitment strategies are required to complement the international-based recruitment processes to present an integrated and cohesive approach to prospective international students. The Manager assesses the effectiveness of all on-campus events for prospective international students, identifies gaps in service, and develops new opportunities to engage prospective international students on campus, employing appropriate tactics to enhance the on-campus experience. The Manager works collaboratively with ISI staff, as well as colleagues from the faculties and other departments, to support diverse student enrolment at UBC.

Organizational Status

Reports to the Director, On-Campus Recruitment, on a strategic basis. Liaises directly with ISI Directors, Associate Directors, Managers and their recruiting teams to plan strategic on-campus programs that support the achievement of the overall enrolment goals of the University.

The Manager also works closely and collaboratively with:

  • the Recruitment Marketing and Prospective Student Engagement (RMPSE) team
  • Enrolment Services, including Student Recruitment & Advising (domestic), Undergraduate Admissions, and Enrolment Services Advisors
  • Faculty and staff in academic advising offices and various departments
  • Senior staff within Student Development and Services, International Student Advising, Student Housing and Community Services, Ceremonies and Events, Alumni and other units on campus offering attractions and orientation services to visitors to campus

On-Campus Recruitment and Campus Tour Program

Daily Campus Tours Program

The Manager, On-Campus Recruitment assists the Director in designing and managing a high quality, innovative, responsive and professional campus tour program that caters to a diverse group of

approximately 20,000+ prospective students, their families and other visitors each year. While the Manager, On-Campus Recruitment is situated within the ISI and has primary responsibility for prospective international students, the weekly campus tours program must be designed to serve all visiting audiences, including domestic and international prospective undergraduate students. The responsibilities include:

  • Oversight for designing all programming and operational aspects of in-person, live virtual and group tours offered 1-3 times per day, 6-7 days per week, throughout the year.
  • Responsible for researching and implementing most effective student-to-student recruiting approaches with the aim of helping to meet the university's international undergraduate student enrolment targets.
  • Identifying and fostering good working relationships with key internal partners including each of the undergraduate admitting faculties and their academic advising offices, as well as with other units to negotiate opportunities for collaboration, partnerships and synergies, such as with Alumni, Ceremonies and Events, Student Housing and Community Services, etc.
  • Responsible for developing a tour route that minimizes risk to visitors and student staff. Builds capacity in Student Ambassadors, Senior Student Ambassadors, and International Recruitment Assistants to handle emergency situations with support from emergency services, campus security, and campus tours staff. Liaises with Campus Security and Risk Management regarding training, workshops, etc.

Other on-campus recruiting and advising programs

  • Provides assistance to the Director in designing and implementing multi-day tour programs for international guidance counsellors, agents, or partners for both of UBC's campuses. Provides overall guidance and direction for a cross-campus team of ISI colleagues, liaising with key internal stakeholders in faculties on both campuses to ensure visiting guidance counsellors, agents, and partners experience the best that UBC has to offer and return home eager to recommend UBC to their outstanding students.
  • Establishes partnerships with external organizations to promote UBC as an attractive conference destination for young leaders and emerging scholars.
  • Initiates development and implementation of other on-campus programs for US and international guidance counsellors, as well as for counsellors and others working with prospective international students studying at Canadian high schools and colleges.
  • Takes a leadership role to design and deliver other on-campus joint recruitment ventures with domestic recruitment and the faculties for prospective or newly-admitted students, including spring break and holiday programs targeted to a mix of international and domestic prospective students from Canada and around the world.
  • Provides assistance to the Director in the sharing of expertise and knowledge with the ISI and Student Recruitment and Advising (domestic) recruitment managers responsible for on-campus recruitment efforts on the Okanagan campus in order to promote consistent quality of campus tours programs across both campuses, share best practices, coordinate events, and undertake joint promotion of programs. Shares expertise with Indigenous Recruiters in the development of Indigenous campus visit programs. Shares expertise with Alumni in the development of their tour program for alumni and visitors to UBC.

Student Development Program

  • Oversees the recruitment, selection, training, scheduling and supervision of a team of knowledgeable, dedicated and paid Student Ambassadors, Senior Student Ambassadors, and International Recruitment Assistants to lead campus tours and to support other on-campus recruiting activities that highlight the UBC student experience.
  • Provides a high-quality work learning experience for international and Canadian students that provides transferrable skills. Potential-based hiring often provides new international students with their first Canadian work experience. The Student Ambassadors, Senior Student Ambassadors, and International Recruitment Assistants roles support the integration and engagement of new international and Canadian students.
  • Oversees a comprehensive and personalized training program for new Student Ambassadors, Senior Student Ambassadors, and International Recruitment Assistants. Develops an extensive ongoing training for continuing student ambassadors, including career and professional development that will support students in their career post-graduation.

Other

  • Works closely with the RMPSE team and in collaboration with the domestic recruitment team to develop innovative and effective multi-media presentations for use in the campus tour program.
  • Delivers professional and persuasive in-person and virtual group advising sessions, public presentations, and seminars about UBC as part of the campus tour program and other on-campus recruitment activities.
  • Maintains data on the origin of campus tour participants, tracks and assesses patterns of participation, designs and delivers other assessment tools to solicit feedback from tour participants to determine levels of satisfaction and overall effectiveness of program in meeting recruitment goals.
  • Researches best practice in campus tour management and on-campus recruitment programs, including visiting peer institutions for comparative purposes.
  • Writes reports and makes recommendations for improvements and alterations to the program, tour routes, etc., based on feedback from participants.

Student Advising Services and Programs

  • Maintains the knowledge and skills needed to carry out effective recruitment and advising services on an auxiliary basis, either on campus or on selected international recruiting trips as assigned by an ISI regional manager.
  • Maintains up-to-date knowledge of academic program opportunities at the University on both campuses, undergraduate admission requirements, international and Canadian secondary school curricula, UBC application procedures, prerequisite studies required for certain programs, English language proficiency requirements, tuition fees, scholarships and awards, and Canadian study permit requirements. Provides accurate information on housing and other student services and carries out advising with tact, discretion and adherence to issues of privacy and freedom of information protocols.
  • Proficiently uses UBC student information systems and recruitment technology, such as the client relationship management system, to manage campus tour registrations, follow-up, analyze data on tours and programs, identifying trends and patterns and student preferences.
  • Advising takes place with individual students, their families, and counsellors who are visiting the UBC campus. Advising also takes place through telephone, virtually, and through the client relationship management system.
  • Undertakes other recruitment, advising and program development activities as required.

Consequence of Error/Judgement

This is a leadership position within the International Student Initiative. This position is responsible for managing, developing, delivering and maintaining the University's regularly-scheduled student-led campus tours and on-campus recruitment programs for a diverse group of international and domestic prospective students, parents and guidance counsellors (more than 20,000 visitors per year) that are critical to maintaining UBC's reputation and to meeting the University's undergraduate enrolment goals.

Actions and decisions ensure that on-campus recruitment programs and activities are perceived to be on the leading edge within North America and consistently provide prospective students with compelling evidence of the University's academic excellence and the high quality of campus life and rich and rewarding student experience.

The services provided need to exceed expectations, and in that regard the development of a team of well-trained, articulate, and confident Student Ambassadors, Senior Student Ambassadors, and International Recruitment Assistants is key to the success of campus tours and other campus based recruiting activities. There is only a short window of opportunity with visitors to campus to make a lasting impression of life at UBC. If the program is poorly administered, students inadequately trained, the poor impression created will linger long after guests have left campus. Inability to administer a program to meet the needs of such a large and culturally diverse audience can impede UBC's ability to attract and retain the best students and ultimately impede the University's enrolment goals.

This position is also responsible for delivering high quality presentations, and advising services. In providing effective recruitment services for prospective international students, this position is responsible for conveying accurate, up-to-date information about admission to the University's undergraduate programs. The dissemination of inaccurate information, exercise of poor judgement, or miscommunication would have a negative impact on the possible admission of qualified students. This would result in the loss of confidence in UBC by the student, the student's parents, or counsellors, and could damage the University's reputation abroad and at home.

Inability to foster good working relationships with both internal and external partners would result in lost opportunities, and could seriously undermine the University's ability to meet its international student enrolment goals and could damage the University's reputation.

Inability to properly steward the financial resources dedicated to the program or to manage and adequately train and supervise student employees could have detrimental effects on the students being served, and result in loss of opportunities, loss of wages, lower morale and a general undermining of the collective efforts of the International Student Initiative team.


Supervision Received

Reports to the Director, On-Campus Recruitment. Works independently with considerable autonomy but within the mandate of the position. Works closely and collaboratively with the Director and other members of the on-campus team, as well as with other staff in the ISI and UBC to meet the goals and objectives of the International Student Initiative. Exercises initiative, diplomacy, tact, resourcefulness and sound judgment when representing the University. Must exercise cross-cultural sensitivity and intercultural skills when developing and delivering presentations and advising services for students having different linguistic and cultural backgrounds. Must employ tact and diplomacy in interactions with students and their parents, with counsellors and institutional representatives, as well as with faculty, staff and students at UBC.

Position is subject to annual performance reviews.


Supervision Given

Is responsible for:

  • hiring, training, mentoring, and ongoing supervision of international recruiter/advisors and associate recruiters assigned to the on-campus team
  • overseeing the recruitment, hiring, performance management, and ongoing supervision of the 50+ Student Ambassadors, Senior Student Ambassadors, and International Recruitment Assistants, as well as other student assistants.
  • overseeing the development and delivery of training modules for new student employees and designing and delivering ongoing professional development for current student employees.

Leads cross-team projects, including an important annual tour for international guidance counsellors. Project teams will include Associate International Recruiter/Advisors, International Recruiter/Advisors, as well as International Recruitment Managers and Directors from both the Okanagan and Vancouver campus.


Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of five to six years of related experience, or an equivalent combination of education and experience.

Education and Work Experience

  • Experience in international marketing and recruitment.
  • Experience planning, implementing and coordinating special events.
  • Experience training, motivating and supervising the work of others.
  • Knowledge and experience implementing on-campus recruitment best practices.
  • An in-depth knowledge of university admission criteria, services and resources for international students.
  • In-depth knowledge of major international secondary educational systems, including provinces in Canada, British patterned, US, IB, and other systems.
  • Experience supporting and advising international students at the post-secondary level.
  • International experience preferred. Experience working, studying, or living abroad is desirable.
  • Fluency in an additional language or languages.

  • Ability to travel occasionally in BC, the US, and internationally may be required.
  • Possession of a valid BC Driver's License.
