Under the direction of the Coordinator - Learning Support, with minimum supervision, the Instructional Assistant, Education and Career Planning program (EDCP) provides support, both independently, and as part of a team of instructors, staff, and community partners, to the Education & Career Planning students. The IA may be the first point of contact for prospective, new, and returning students whose reading levels range from basic literacy to post-secondary, and whose computer skills vary from basic to advanced. The position provides assistance and information related to programs, courses, assessments, student services, and college policies and when necessary, refers people to other community and/or college services. The Instructional Assistant represents Student Access Services, the EDCP program, and School of Access and contributes to a positive learning environment for all students.
TYPICALDUTIES Student Support
- Provides support and assistance to a diverse student body by reinforcing program objectives, answering students' questions, providing guidance, clarification, and/or direction; - Manages all aspects of student intake; books and conducts individual information sessions; - Liaises with instructors to help identify students who have learning disabilities or students who are experiencing extreme anxiety and to ensure clear, consistent and regular communication and information flow between Instructors, Instructional Assistants and students;
- Responds to a wide range of student inquiries, providing information, advice and guidance and where necessary, and refers students to instructors, appropriate Chair, college services, and/or external agencies; - Supports through, tracks and follow ups with students during the registration process, including liaison with admissions, financial aid, registration, and other student services; - Communicates regularly with registered students prior to the start of the program; as well, provides detailed instructions to students to support their both their online, synchronous and self-learning/asynchronous, participation; - designs and provides an orientation to the learning management software (D2L) and the online/synchronous classroom software; Designs and instructs resume-writing workshops; - Provides support and assistance to instructors in facilitating activities, coordinating group work and modeling key objectives, as well as to assess student engagement with the self learning/asynchronous content; may perform objective marking; - Assists instructors in contacting students to follow up and contacts prospective students who expressed interest in the program but have not registered; - Works with instructional team to respond to student crisis situations, with appropriate crisis intervention strategies and contacts security and/or emergency services where necessary;
Technical Support Troubleshoots and assists with resolving a variety of basic technical difficulties in the online classroom (eg poor internet connectivity, audio and/or video issues, disconnections.); refers unresolved issues to the Centre for Excellence in Teaching & Learning or ITS;
- Creates and coordinates applicable breakout groups and tracks student attendance using D2L; - Organizes and administers as necessary class and guest speaker video recordings; records various online class presentations; as required, uploads recordings to applicable software for basic editing, and publish/distributes within appropriate guidelines; - Completes minor updates to and/or assists with edits, proofing, or creating curriculum information, program learning tools and news in D2L for each student intake, as requested by Supervisor or Instructor;
General - Organizes and makes administrative arrangements for guest speakers as required or requested by instructor; supports guest speakers with orientation in classroom software, as needed or requested; - Monitor and updates the content of the EDCP website pages, including basic editing, to ensure accurate and current information, working with Supervisor and instructor as necessary. (eg program dates, program details, and basic student testimonials); - Contributes, generates and presents ideas to the EDCP marketing team for marketing the program and follows through with these initiatives as directed; collects applicable student data for analysis by the department & marketing team; - Provides applicable documents and liaises with, the marketing department for the creation and scheduling of social media posts; - Attends community events/career fairs to promote program; - Prepares for, attends and participates in team, departmental, and special project meetings and performs assigned follow-up tasks;
- Performs other related duties similar in scope and complexity.
Qualifications
Two years of relevant post-secondary education including English and computer courses plus two years relevant experience working with adult learners in employment and career counselling area in a post-secondary environment or an equivalent combination of education and experience.
- Demonstrated ability to work effectively with a diverse student population,
including adults with learning disabilities, sensitivity towards learners with multi-
barrier student issues, and the ability to respond to the needs of learners;
- Proven excellent communication and presentation skills, demonstrating confidentiality,
tact, and discretion;
- Demonstrated time-management, multitasking and organizational skills; including the ability to adapt and work independently and as part of a team; and demonstrated problem solving, creative thinking, and conflict resolution skills;
- Knowledge of College structure, resources and services available to support students;
- Advanced level knowledge and skill with personal computers and software
applications including the MS Office suite; facility with demonstrating software to a
diverse student population as a group and individually;
- Proficient in cloud-based online/synchronous learning management software, such as
D2L, using software features and functions;
- Proficient with synchronous classroom software (eg Blackboard Collaborate) for
basic troubleshooting,
- Basic knowledge of video editing software, such as Kaltura;
- Excellent attention to detail while working in a sometimes-high volume and changing student-centered learning environment.
