What would my role be?

Reporting to the Director, Workplace Safety Services, you will act as a resource person and coordinate and assume responsibility for a variety of functions to ensure the smooth functioning of the department. You will also provide administrative support to the Director, Workplace Safety and the Occupational Health and Safety Services team.

How do I qualify?

Required:

  • Two (2) year Community College Diploma in Medical Office Administration or other relevant field or equivalent combination of experience, education and training.
  • Minimum of three (3) years of relevant experience
  • Experience as an administrative assistant.
  • Fluent in French and English (Candidates who do not meet this language requirement are eligible to apply for this position and may be considered if there are no other suitable applicants who meet this requirement).

Preferred:

  • Previous experience in Occupational Health Safety Services.

What skills should I possess to succeed in the role?

  • Knowledge of basic accounting principles.
  • Advanced knowledge of various software programs such as Parklane, Microsoft Office Suite, Clarity.
  • Excellent communication and interpersonal skills.
  • Excellent decision-making abilities.
  • Able to exercise appropriate and independent judgment.
  • Demonstrated ability to work effectively with minimal supervision, individually and within a team.
  • Demonstrated client-centered and service-oriented approach.
  • Strong organizational skills and strong attention to detail
  • Able to analyze and resolve administrative or procedural problems.
  • High level of initiative, flexibility and ability to multi-task in order to effectively prioritize, manage and meet multiple priorities and deadlines in a fast-paced environment.
  • Able to utilize discretionary initiative and judgment in handling sensitive and confidential details.
  • Knowledge of how to operate audiovisual equipment such as teleconference system (Polycom), microphone, LCD projector, computer, printer, fax, photocopier, shredder, label printer, etc.
  • Able to adapt to change.
  • Basic knowledge of medical terminology.
