JOB PURPOSE:

The Administrator, Experiential Training Programs is responsible for administering, and contributing to the planning, development and implementation of the Law Society's experiential training programs in collaboration with the Manager, Licensing Process and Experiential Training Programs (Manager) and the Team Lead, Experiential Training Programs (Team Lead).

QUALIFICATIONS REQUIRED:

  • A college diploma or university degree, or equivalent, in a related field.
  • A minimum of 3 years' prior-related experience, with administrative and legal experience considered an asset.
  • Solid understanding of Law Society policies, regulations and mandate, and of the Experiential Training Programs in particular.
  • Speaks and writes in a clear, articulate manner for individual and / or group situations.
  • Reasons through moderately complex spoken and written information.
  • Proficiency in word processing, spreadsheets, databases, e-mail, and the Internet/Intranet.

Client / Customer Service Planning

  • In collaboration with the Manager and Team Lead, administers the Experiential Training Programs, ensuring the adherence of program activities with the goals, policies and directives of the organization.
  • Oversees the applications and process for licensing candidates in the articling phase and/or licensees involved as Principals.
  • Participates in program development, reviewing and analyzing procedures, and recommending policy/program changes and solutions to contribute to the effectiveness and success of the articling term of the Licensing Process.

Client / Customer Service Delivery

  • Oversees and coordinates the administrative process for the experiential training programs.
  • Reviews documentation and applications, focussing on national and international articles and approval of articling principles.
  • Assists in the determination and review of acceptable, non-standard, or ineligible plans/applications, such as exemptions and abridgments, along with appropriate recommendations for action by the Manager and Team Lead.
  • Coordinates and tracks the compilation of all statistics related to articling and placement on a monthly basis.
  • Coordinates placement activities, including the job search skills workshop, the procedures that govern recruitment, postings, mentoring programs, the articling registry and other employment opportunities and assistance.
  • Monitors articling placements, assisting with interventions as required.
  • Provides ongoing information and guidance to candidates and principals regarding program requirements, opportunities, alternatives, interventions, and problem resolution.
  • Responds to telephone and email enquiries from members of the public, licensees and candidates.
  • Attends meetings within and outside the Law Society in support of program activities.

Financial Responsibility

  • Participates in the budget development process by forecasting and monitoring day to day expenditures and revenues for the program within established guidelines.

Team Membership

  • Contributes to the effective and integrated delivery of services to student lawyers, licensees and the public, focusing on the integration of delivery and assisting other team members as required.

The Law Society has introduced a Distributed Workforce Model to leverage flexibility and agility, and to maximize employee productivity and engagement. Work arrangements will be determined by role and departmental requirements. The working arrangement for this contract position has been classified as Hybrid, where the employee will regularly flex their work location between home and office.
