Wage Range: $22.46 - 28.08 per hour (to commensurate with experience and consistent with UHN compensation policy)
Hours: 37.5 Hours per Week
Shifts: Mon - Fri
Status: Temporary Full-time (End Date ~ March 13, 2026)
Closing Date: December 4, 2024

Job Summary

University Health Network (UHN) is seeking an experienced and motivated People & Culture Assistant. This role reports directly to the Employee Records Team Lead and will be representing People and Culture on a regular basis as a day to day contact for managers and employees of the organization. The Employee Records Counsellor is responsible for confidential, accurate record keeping in the Human Resources Information System (HRIS) for multiple client groups within UHN.

Duties

  • Greeting and assisting all incoming visitors with their queries
  • Answering telephone calls, responding to general inquiries and directing the caller to the appropriate person
  • Performing clerical support functions including: word-processing correspondence, photocopying, etc.
  • Sorting and distributing mail and courier deliveries
  • Maintaining an organized and tidy reception area
  • Responding to mail / emails from external parties like lawyers, former employees etc. and to queries from internal employees
  • Assisting Employee Records Counsellors with basic processing and other duties consistent with the job classification, as required
  • Assisting Employee Records Supervisor with transactions in VIP, benefits and HOOPP payments reconciliation, and other duties as required

Qualifications

  • Human Resources Management Diploma or a recognized Post-Secondary Office Administration Diploma
  • Minimum of one year related secretarial/office experience
  • Working experience with HRIS is mandatory; experience using VIP HRIS is an asset
  • Experience working in a People & Culture team or Health Care environment is an asset
  • Excellent interpersonal, customer service, verbal and written communication skills required
  • Demonstrated organization, time management and analytical skills
