Join our Talent Management team as a Talent Management Specialist (Associate Programs Specialist), where you'll play a pivotal role in shaping the experience of our associates (lawyers). You will assist with key activities such as performance reviews, recruitment, onboarding, and training, all while collaborating with cross-functional teams across HR, Finance, Facilities, Training and more. This is an exciting opportunity to manage diverse tasks, from financial reporting and data analysis to organizing engaging social events. Principal Duties & Responsibilities:

  1. Associate Performance Reviews: Plan, organize and help manage the performance review processes (mid-year and year-end), including compiling feedback, reviewing feedback, assisting with the drafting of review messages, preparing the compensation report for the year-end compensation process, preparing meeting materials for the Directors and for the and written communications for the associates and partners.
  2. Associate Recruitment: Assist with the recruitment process for Associates, managing the budget, drafting the job posting and working with HR to post in various forums, managing the application portal, scheduling interviews and being a point of contact for the candidates.
  3. Training, Onboarding & Orientation: Working with the Directors to organize and coordinate all training activities for first year associates; prepare orientation schedules and onboarding materials for newly hired associates; liaise with various business services departments and external organizations, such as the Law Society of Ontario.
  4. Financial Reporting & Data Analytics: Prepare monthly hours reports based on docketed time reported by finance department, review budget allocations, reconcile expenses and consider and report on various data points. Delegate certain tasks to the Talent Management Coordinator and review work for accuracy.
  5. Day-to-Day Associate Program Management: Assist with ordinary course functions of the associate program including: managing the annual calendar and tracking deadlines; organizing associate engagement and social events organized by the Talent Management department, managing processes related to associate leaves, secondments and departures; working directly with HR, Finance, Training and IT departments; working with the facilities team on floor plans; assisting the broader Talent Management team during busy times, such as during student recruitment; assist the Executive Director with certain partnership matters.
  6. Associates Committee / Department Meetings: Prepare meeting materials for monthly committee meetings and department meetings, as needed.
  7. General Administrative Tasks: Book meetings, manage calendars, draft email communications, and provide administrative and project management support to firm-wide initiatives, such as community involvement initiatives, on an as-needed basis.

Education/Knowledge and Experience:

  • 2+ years of experience in a law firm talent management department or in HR administration considered to be a strong asset
  • Project management experience
  • Proficiency in Microsoft Office (Word, Outlook, Excel & PowerPoint)
  • Proficiency in Vi software (Eval, Recruit, etc.) considered to be a strong asset

  • Outstanding time management & organizational skills with the ability to prioritize competing tasks
  • Capacity to complete tasks with minimal supervision
  • Ability to work as a team player in a professional, courteous manner
  • Advanced problem-solving, critical thinking and decision-making skills
  • Some delegation (to Administrative Assistant/Talent Management Coordinator)
